The right external drive size depends on what you are backing up, how quickly that data changes, and how many older versions you intend to keep. The capacity of your C: drive alone is not enough to answer the question.

Practical starting rule: total the data that will actually be protected, add space for growth and retained versions, then leave 15–20% of the destination free. Treat compression as a bonus unless your backup application provides a reliable estimate.

Start with the recovery job, not the drive label

A 1 TB internal drive that contains 180 GB of protected data does not automatically require a 1 TB backup drive for one ordinary file backup. The reverse can also be true: a 500 GB destination may be too small for 300 GB of current data once you add version history, another full image, and future growth.

1. Measure what will actually be protected

Open File Explorer > This PC to see used space on each relevant volume. For a file-only job, check the properties of the folders you intend to include rather than counting every installed application and Windows system file. Remember to look beyond Documents:

  • Desktop, Pictures, Videos, Music, Downloads, and any folders created outside your user profile
  • Local email archives, project folders, game saves, virtual machines, and application data you deliberately want to preserve
  • Files on another internal data volume if that volume is part of your recovery plan
  • Locally available cloud files; an online-only placeholder is not the same as a complete local copy

For an image backup, use the imaging application's list of included partitions and its estimated image size when available. A Windows system image may include small EFI, recovery, or other boot-related partitions that do not appear as normal drive letters.

2. Add the space that accumulates after day one

The first backup is only the starting point. New photos, edited projects, older file versions, and additional image recovery points will gradually use more space. A drive that merely fits today's data can therefore fill much sooner than expected.

Write down these five numbers:

Add A + B + C + D first. To leave 20% of the drive free, divide that total by 0.8. For 15% free space, divide it by 0.85. This is a planning method, not a promise that every backup format will produce the same file size.

Example: a file-backup drive

Suppose the folders you selected contain 120 GB. You expect to add 40 GB during the next year and reserve 80 GB for changed-file versions. That is 240 GB before headroom. A nominal 250 GB drive would be too tight; a 500 GB drive gives the job room to retain versions and grow without immediately forcing cleanup.

Example: a system-image drive

Suppose an imaging application estimates the first full image at 260 GB. You also want space for later recovery points totaling roughly 180 GB. The working total is already 440 GB before headroom, so a 500 GB destination is a poor fit. A larger drive gives the application room to complete a new backup before an older chain is removed.

If the application does not estimate image size, start from the used data on all included volumes and add headroom. Do not assume a particular compression percentage: encrypted, already compressed, media, and archive files may shrink very little. A sector-by-sector option can require space closer to the full included-volume capacity.

3. Decide how much history you really need

Retention is the largest unknown. A computer with mostly new photos grows differently from one where a few large project files are rewritten every day. File History keeps earlier versions, while image software may retain full, incremental, or differential chains. The same 200 GB starting dataset can therefore use very different amounts of destination space.

  • Choose a retention period tied to a real recovery need, such as one month of versions for files you edit frequently.
  • Keep at least one known-good recovery point while a new full backup is being created.
  • Use the backup application's cleanup controls rather than deleting files from the middle of a backup chain.
  • Check free space after the first week and again after a month; those measurements are better than a generic multiplier.

4. Do not confuse one large drive with a complete backup plan

A larger external drive improves retention, but it is still one device. Theft, electrical damage, accidental formatting, or failure of that drive can remove every recovery point stored on it. Irreplaceable files need another offline or off-device copy even when the first external drive has plenty of unused space.

Before buying or reusing a drive

  1. Choose file backup, system imaging, or both.
  2. Measure selected files or record the image estimate.
  3. Write down how many versions or recovery points you want to retain.
  4. Add expected growth and space already used by unrelated files.
  5. Leave 15–20% free instead of selecting a drive that only just fits the calculation.
  6. After the first backup, restore a sample file and record the actual space used.
